Know Before You Plan with A Suite Experience Travel
Terms and Conditions

By engaging the services of Laurie Roberson, DBA A Suite Experience Travel, placing a deposit, or making any payment toward your trip, you acknowledge that you have read, understand, and agree to be bound by these Terms and Conditions. These Terms govern all aspects of your travel planning, bookings, and interactions with suppliers. Please review the Terms carefully before confirming your trip. If you do not agree to these Terms, you should not proceed with booking or using my services.

1. Scope of Services
I provide custom travel planning for destinations listed on my website and social media channels. My expertise is focused exclusively on these locations to ensure the highest quality of service. I provide recommendations and bookings but am not responsible for the performance of suppliers. I do not offer:
  • Air-only or car rental-only bookings
  • Tours or excursions-only bookings
  • Airport parking reservations
  • Airbnb/VRBO properties unless specially contracted through approved vendors in the Caribbean
  • U.S. domestic travel services, except for Hawaii, Disney, and Universal packages
I may decline new travel requests and generally accept bookings from established clients or referrals. This policy is at my discretion and does not constitute refusal without cause. A Suite Experience Travel acts solely as an independent travel advisor arranging services with third-party suppliers. I am not an employee, representative, or partner of any supplier and am not responsible for their acts, errors, or omissions.

2. Initial Consultation and Client Acceptance
To begin planning, clients must provide:
  1. Confirmed travel dates with at least one alternative option
  2. Confirmed budget
  3. Destination preferences (including inclusions and exclusions)
  4. Valid passport information where applicable
Acceptance as a client is determined at my discretion. New travel requests may be declined or deferred, and priority is given to established clients or referrals. Travel planning will commence only after receipt of required information and completion of a consultation via phone or email.

3. Pricing and Quotations
All pricing is provided as complete packages, inclusive of airfare (where applicable), accommodations, transfers, and/or tours. Prices are subject to change until deposits are made and supplier confirmation is received.

4. Deposits and Payments
Payment terms are determined by the applicable tour operator, cruise line, or travel supplier. Payment in full by the final due date is required to avoid cancellation. Payments are accepted by major credit card only. Final payments must be made no later than two weeks prior to departure; I do not accept final payments 1–3 days before the due date. Payments made after the due date may result in cancellation by the supplier without refund. Deposits and payments are non-refundable unless otherwise stated by the supplier. All client payments are processed directly with the travel supplier or tour operator; A Suite Experience Travel does not hold client funds.

5. Booking Acceptance
By placing a deposit, you acknowledge that you agree to both these Terms and Conditions and the terms of each supplier. Supplier-specific terms (including cancellation, change, and refund policies) apply in addition to these Terms. You will receive supplier-specific terms prior to payment. After final payment, no changes can be made without applicable penalties.

6. Client Responsibility for Documentation Accuracy
Clients are responsible for providing accurate legal names, dates of birth, passport details, and any other information exactly as it appears on government-issued identification. Errors may result in additional fees, re-ticketing, or denied boarding, for which I am not responsible.

7. Client Responsibility for Review of Travel Documents
All travel documents (including itineraries, names, dates, hotel confirmations, and flight details) must be reviewed immediately upon receipt. Any errors must be reported to me within 48 hours. Failure to report errors within this timeframe may result in additional costs, for which the client is solely responsible.

8. Changes and Modifications
One voluntary change is permitted at no charge after deposit. Additional voluntary changes (including date, flight, or resort changes) incur a $100 per-change fee plus any supplier penalties.

9. Cancellations and Refunds
All cancellations are subject to the supplier’s terms and conditions. Supplier fees and penalties will apply. I am not responsible for securing refunds or compensation for services not rendered; these must be addressed directly with the supplier. Deposits and payments are non-refundable unless otherwise stated by the supplier.

10. Health and Fitness to Travel
Clients are responsible for ensuring they meet all health requirements, including vaccinations, medical clearances, and testing. I am not liable if a traveler is denied boarding or entry due to failure to meet these requirements.

11. Supplier Substitutions and Overbooking
Suppliers may make changes or substitutions to itineraries, hotels, room types, or services. These changes are beyond my control.

12. Special Requests
I will pass along any special requests (e.g., adjoining rooms, dietary needs, bedding preferences) to suppliers; fulfillment is not guaranteed.

13. In-Destination Assistance
For urgent matters while traveling, contact the supplier’s in-destination support line. I must be notified of major travel disruptions via email or phone so I can follow up when possible. I do not provide emergency support and cannot guarantee immediate assistance.

14. Travel Insurance
Clients are responsible for securing and understanding travel insurance coverage. All claims must be filed directly with the insurance provider. I am not responsible for any claims denied.

15. Passports and Entry Requirements
Clients are responsible for ensuring passports, visas, and entry requirements are valid and compliant. Passports should be valid for at least six months beyond the return date with sufficient blank pages.

16. Force Majeure (Including Hurricanes, Natural Disasters, and Health Emergencies)
I am not responsible for travel disruptions caused by events beyond my control, including hurricanes, tropical storms, earthquakes, pandemics (including COVID-19), governmental actions, civil unrest, strikes, demonstrations, labor actions, or supplier insolvency. Supplier terms and travel insurance apply. Refunds are not guaranteed in such circumstances. Travel insurance is strongly recommended to protect against these risks.

17. Chargebacks and Disputes
Clients agree not to initiate credit card chargebacks for services rendered. Disputes must first be addressed with suppliers; I will assist in facilitating communication.

18. Communication and Responsiveness
All communication should be via email or scheduled phone or Zoom calls. I do not schedule in-person meetings. I respond during reasonable business hours and am not available 24/7. Urgent matters while traveling should be directed to the supplier’s in-destination assistance lines; I will assist when possible.

19. Non-Disparagement
Clients agree not to publish false or disparaging statements about A Suite Experience Travel, its services, or me. Concerns should be addressed directly and professionally.

20. Limitation of Liability
I act solely as an intermediary between clients and suppliers. I am not liable for acts, omissions, negligence, or failures of suppliers, nor for personal injury, property damage, or expenses incurred. Travel is undertaken at the client’s own risk. My role is limited to facilitating arrangements with third-party suppliers as an independent contractor. All travel services are provided by those suppliers and are subject to their terms and conditions. By booking, you acknowledge that travel carries inherent risks beyond my control, and you voluntarily assume all such risks. Travel experiences may vary, and minor inconveniences or changes may occur; A Suite Experience Travel is not liable for these occurrences.

21. Recommendations and Third-Party Information
All recommendations, including transportation options, excursions, dining, and local experiences, are based on professional expertise, research, and information provided by vetted suppliers, preferred tour operators, and destination partners. Availability and service levels may change without notice.

22. Minors
Clients are responsible for supervising any minors traveling with them. I am not liable for incidents or accidents involving minors.

23. Governing Law and Jurisdiction
These Terms are governed by New York State law. Any disputes will be resolved in the courts of Saratoga County, NY.

24. Severability
If any provision is found invalid or unenforceable, the remaining provisions remain in effect.

​25. Entire Agreement
These Terms constitute the entire agreement between the client and A Suite Experience Travel and supersede any prior understanding or agreements.
